MAILLENS / DOCUMENT AUTOMATION CASE STUDY

From paper mail to structured digital casework.

MailLens processes incoming post fully locally, groups related pages and uses built-in OCR to read, name and file each document automatically.

CASE STUDY / AT A GLANCE

The work before the work, automated.

PROBLEM

Incoming paper mail creates scanning, sorting and filing work before the actual casework can begin.

Multi-page documents arrive in mixed batches and have to be separated, named and routed by hand.

SOLUTION

MailLens separates scan batches, reads document content with OCR and names and files each document automatically.

The complete recognition and filing workflow runs locally on the system.

OUTCOME

Paper post becomes structured digital input, ready for the right folder or a controlled EstateLens export.

Teams start the actual review sooner while sensitive documents remain under local control.

  • Local processing
  • OCR-based naming
  • EstateLens export
KEY FUNCTIONS

A reliable path from scanner to case folder.

  1. 01 / SEPARATE

    QR-guided document batches

Separator sheets define where one document ends and the next begins, even within a large scan PDF.

  2. 02 / RECOGNIZE

    Built-in local OCR

OCR reads the document content locally and provides the information used for automatic naming.

  3. 03 / ROUTE

    Automatic naming and filing

Recognized documents receive consistent names and move into their configured destination folders.

MAILLENS + ESTATELENS

Historical paper statements can move straight into estate analysis.

Once the documents are prepared, the user selects Export to EstateLens. MailLens transfers the document set and the remaining import into a new estate inventory continues automatically, without another sorting round.

  1. Scan post
  2. Separate pages
  3. OCR and name
  4. Export to EstateLens
  5. Automatic import
